To ensure the Pagoda remains a clean, organized, and welcoming space for all activities. This protocol outlines responsibilities for daily maintenance, proper storage, and feedback procedures to sustain the Pagoda as a shared resource.
Daily Maintenance Protocol
Before Morning Circle
1. Prepare the Space:
• Ensure the floor and table are clean.
• Arrange chairs or seating if needed for the morning circle.
• Place water and plastic glasses on the table for participants.
After Morning Circle
2. Clean-Up:
• Collect and clean all used glasses and other items.
• Wipe down the table and ensure the space looks tidy.
3. Feedback to the System:
• Leave a note or update in the community feedback system about the state of the space and any supplies needed (e.g., replacement glasses or water).
After Daily Sessions
1. Tidy the Space:
• Sweep the floor to remove dirt or debris.
• Ensure tables and any used surfaces are wiped down.
2. Store Equipment:
• Return the monitor and any other session-related equipment to its designated storage area.
• Organize any papers, markers, or materials from the session in their proper places.
Windy Conditions
1. Secure Items:
• Tie down hammocks to prevent them from flapping or blowing away.
• Check that all papers, materials, or lightweight items are safely stored to avoid scattering in the garden.
• Close or secure any open containers or storage units that might be affected by the wind.
Exercise Area Guidelines
1. Using Exercise Equipment:
• Use the workout bar and other sports items responsibly and ensure they are returned to their designated storage areas after use.
• Wipe down equipment after use if needed, especially during warm weather or after intensive workouts.
Weekly Deep Clean
• Schedule a deeper cleaning session once a week, where:
• All equipment and furniture are thoroughly cleaned.
• The floor is mopped, and any cobwebs or accumulated dirt are removed.
• Supplies like water bottles and glasses are restocked or replaced as necessary.
Community Involvement
1. Rotation System:
• Assign weekly responsibilities for maintaining the Pagoda to different community members or teams to distribute the workload.
2. Feedback and Improvement:
• Hold brief check-ins during the morning circle to gather feedback on the Pagoda’s state and address any recurring issues.
